Who we are

Beyond the Noise (“we”, “our”, or “us”) is the executive and life coaching practice of Victoria Higgins. We are the data controller for the personal data described in this policy. You can contact us at hello@beyond-the-noise.com.

Information we collect

Newsletter subscribers: your email address, the date you subscribed, and a record that you gave consent via our website.
Contact enquiries: your name, email address, phone number (if provided), and the content of your message.
Coaching clients: the information you share with us during enquiries, intake, and sessions, as required to deliver coaching services.
Technical data: standard server logs (IP address, request time, user agent) retained briefly for security and abuse prevention.

Our newsletter is sent monthly and contains reflections, articles, and occasional information about our coaching programmes. We send it on the lawful basis of your consent (UK GDPR Art. 6(1)(a)).

When you subscribe via our website, we record your email, the date of consent, and the source (“website subscribe form”). We do not share your email with anyone outside the processors listed below.

You can withdraw consent and unsubscribe at any time by clicking the unsubscribe link at the bottom of every email, or by emailing us at hello@beyond-the-noise.com. Withdrawing consent does not affect the lawfulness of processing before withdrawal.

How we use your information

To respond to enquiries and deliver coaching services (lawful basis: contract / legitimate interest).
To send you the monthly newsletter (lawful basis: consent).
To improve our website and services (lawful basis: legitimate interest).
To meet legal and tax obligations (lawful basis: legal obligation).

Who we share your data with

We do not sell your data. We use the following processors, who handle data on our behalf under appropriate contractual safeguards:

Resend — sends newsletter and transactional emails on our behalf.
Cloudflare — provides DNS, content delivery, and email routing for our domain.
Hetzner — hosts our website servers in the European Union (Germany).
Google Workspace — delivers our business email (hello@beyond-the-noise.com).

We may also disclose information where required by law.

How long we keep your data

Newsletter subscribers: until you unsubscribe, then we retain a minimal record of the unsubscribe to honour your preference.
Contact enquiries: up to 24 months from your last interaction, unless we are required to keep them longer (e.g. for tax records).
Coaching clients: for the duration of the engagement plus 7 years where required for professional and tax records.
Server logs: rotated within 14 days.

Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your data (“right to be forgotten”).
Object to or restrict processing.
Withdraw consent at any time (for processing based on consent).
Request data portability.

Cookies

Our website uses only strictly necessary cookies required for the site to function (for example, security and bot-protection cookies set by Cloudflare). We do not use advertising or third-party analytics cookies. You can control cookie preferences through your browser settings.

Security

We use appropriate technical and organisational measures to protect your data, including HTTPS for all traffic, encrypted storage, restricted administrative access via VPN, and rate limiting on public forms.

Complaints

If you are unhappy with how we have handled your personal data, please contact us first so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated via the website or by email where appropriate. The current version is dated below.
